Two years ago I stood in an airport in Lisbon with a phone full of receipts and no real idea what my business had made that month. Not approximately. At all. Location independence charges an attention tax, and bookkeeping is where it gets paid.
I have been building businesses since 1995, and I currently run multiple AI companies, resorts, wedding venues, and a slew of other businesses. For most of that time the back office was the thing I did on Sunday nights. I finally rebuilt it so it runs without me, and the version I have now asks for about twenty minutes a month. Here is what it looks like.
The Back Office Breaks Because Every Tool Assumes You Live in One Country
None of this is a discipline problem. Most accounting software was designed for a business with one address, one bank, one currency, and an accountant two time zones away at most. Digital nomad founder bookkeeping breaks every one of those assumptions. You get paid in dollars, pay rent in euros, buy software in pounds, and eat lunch in baht. Bank feeds arrive late or not at all. Your accountant asks for a document you cannot open without a VPN.
Then the spreadsheet rot sets in. You miss three weeks, the categories drift, and now catching up is a four hour project instead of a ten minute habit.
What's becoming clearer to me is that the back office is not a bookkeeping problem. It is a plumbing problem. Fix the plumbing once and it stops asking for your attention.
Receipt Capture: One Inbox, One Rule, Ten Minutes on Friday
The highest return change I made was giving receipts one place to land. Not my camera roll. Not my downloads folder. One address.
Here is the setup, in order.
First, create a dedicated address like [email protected] and forward everything there. Every vendor that emails a receipt gets pointed at it, and paper receipts get photographed and mailed in.
Second, decide where that inbox drains to. I have used Dext and Hubdoc for years and both will read the email, pull the amount, the date, the vendor, and the currency, and push it into Xero or QuickBooks Online. Expensify does the same job for anyone who wants a phone-first app. If you would rather not pay for a tool, an iOS Shortcut that drops a photo into a Google Drive folder gets you most of the way, and so does forwarding a receipt to an AI assistant and asking for the fields back in a fixed format.
Third, the sweep. Once a week, ten minutes. I open the inbox, confirm what the software guessed, fix what it got wrong, and close the tab. A rule that runs on Friday morning beats a system that depends on my motivation on Sunday night.
That is the cheapest way I know to automate bookkeeping with AI. The software reads, I confirm, and nothing piles up into a project.
Multi-Currency Categories Without a Spreadsheet You'll Abandon
Currency is where most DIY setups fall apart, so pick a reporting currency and stay loyal to it. Mine is USD. Every report and every conversation with my accountant happens in dollars, even when the transaction was in pesos.
Three steps make this work.
Pick your accounts deliberately. Wise, Mercury, and Revolut Business all give you multi-currency accounts with real exchange rates and clean exports. I keep one operating account per major currency rather than letting a single account juggle five.
Turn on multi-currency in the ledger. Both Xero and QuickBooks Online hold the original amount and the original currency alongside the converted figure, which matters at tax time. Never overwrite the original number with the converted one. You will want the paper trail.
Cap your category list. I have twelve categories for the whole group. AI bookkeeping for service businesses only stays clean when the categories are stable. AI for consultants and agency accounting gets messy when there are forty expense categories and no two months get classified the same way. Twelve categories that get used consistently beat forty that get used creatively.
One thing I stopped doing: tracking FX gains and losses by hand. The software handles revaluation. I check it once a quarter and move on. Multi-currency expense tracking stopped hurting the day I stopped trying to be the exchange rate engine.
The Monthly P&L in Twenty Minutes
The monthly close is three moves.
Set a close date and honor it. Mine is the third of the following month, after every bank feed has settled. Consistency matters more than speed here.
Export and summarize. I pull the profit and loss from Xero and hand it to Claude or ChatGPT with a fixed prompt: summarize revenue, name the top three cost centers, and flag anything that moved more than twenty percent against last month. The output is not the final report. It is the first draft that tells me where to look. Fathom and Syft do a more polished version of the same job if you want charts with it.
Write five lines. What went up, what went down, what I am doing about it, what I am ignoring, and what I need to check next month. Five lines forces judgment. A forty page report hides it.

What I Still Pay a Human For
I do not do my own tax filings, and I do not think you should either. I pay an accountant for about three hours a month. Because the receipts, the categories, and the currency conversion are already clean, those three hours are judgment calls and compliance, not data entry.
That is the trade. AI handles capture, categorization, and the first draft of the numbers. A human handles the parts where being wrong is expensive. What you stop paying for is the ops manager whose job was moving documents between systems, and in my experience that is most of the cost of the back office.
I have trained more than 90,000 people, and the founders who get this right are not the ones with the best tools. They are the ones who fixed the plumbing once and then never thought about it again.
One last thing. The system has to survive a bad month. If it only works when you are disciplined, it is not a system yet.
